Notice of Annual General Meeting

Purpose of the meeting

The Annual General Meeting of the Club is called to discuss the agenda points below. All Members are invited to attend for their interest.
Note that only Life and Ordinary Members shall be eligible to vote on any matter.

1. President’s opening remarks
2. Minutes of previous AGM (Note 1)
3. President’s Report
4. Treasurer’s Report (Note 1)
5. Senior Playing Report by Head Coaches
6. Youth Section Report by Development Officer
7. Proposed Constitutional Change (Note 4)
8. Determination as to Annual Subscriptions (Note 2)
9. Members Questions (Note 3)
10. Election of Office Bearers and General Committee
11. Any Other Competent Business

Notes

(1) Documents

A copy of key documents (Minute of 2019 AGM, 2019 Financial Statements, Constitution) will be made available at the meeting. Any member wishing to receive an electronic copy prior to the meeting should request them by email to Secretary@HamiltonRugbyClub.co.uk.

(2) Annual Subscriptions
The Committee recommend that for season 2021/2022 the subscription charge for each category of Membership should remain unchanged, being as follows;
Ordinary £100 (+ suggested £40 donation); or £156 by direct debit
Associate £70; Family - £85; Youth - £60; Child - £25

(3) Members Questions

Members are invited to submit any questions or proposals they may have in advance of the meeting. These should be sent by email to Secretary@HamiltonRugbyClub.co.uk no later than 5pm on Monday 16th August 2021.

(4) Proposed Constitutional Change of the Membership Section:

Proposed addition of item 5(d) “The Club has to have at least 25 members to be properly constituted.”

Rationale: This addition is required by The Licensing (Clubs) (Scotland) Regulations 2007 for the Club to comply with their standards.

Please note: due to ongoing Covid-19 restrictions, the number of spaces for an in person AGM will be limited in line with social distancing requirements. Those wishing to attend must reserve a space by emailing Secretary@HamiltonRugbyClub.co.uk by 5pm Monday 16th August. Spaces will be allocated on a first come first served basis with priority being to Life and Ordinary Members. A reserve list will operate for interested parties wishing to attend who do not meet the priority criteria. This will be reviewed should government restrictions allow more people to attend.
